BOOKING POLICY

Deposits

To secure your booking, a deposit is required at the time of reservation. The deposit amount varies depending on the activity and the size of the group. Please see the breakdown below:

  • Individual Escape Room Bookings: Optional one player deposit.

  • Group Bookings: A deposit of 50% of the total booking cost is required to confirm group bookings.

  • Other Activities: For specific activities, the deposit amount will be communicated to you during the booking process. This is typically a percentage of the total cost or a flat fee, depending on the nature of the activity.

Deposit Deadline: Deposits must be paid within 7 days of receiving the booking confirmation to secure your reservation.

Remaining Balance: The remaining balance is due on the day of the booking. You may choose to prearrange an invoice for the remaining balance, which will be issued to you following to your event. Please inform us in advance if you wish to receive an invoice for the balance.

CANCELLATION OF A BOOKING

In the event that the Hirer terminates the booking, Serve Ping Pong Club / CodeBreakers will refund the deposit as follows:

  1. Cancellation notice received more than 30 days prior to the date of Event: Full refund.

  2. Within 30 days prior to the Event – 50% of deposit.

  3. Within 14 days prior to the Event – 25% of deposit.

  4. Within 7 days prior to the Event – no refund or transfer.

CHANGE OF DATE FOR A BOOKING

In the event that the Hirer requests a change of date for their booking, Serve Ping Pong Club / CodeBreakers will handle the request as follows:

  1. Change of date request received more than 30 days prior to the original Event date: Full transfer of deposit to the new date, subject to availability.

  2. Change of date request received within 30 days prior to the original Event date:

    • 75% of the original deposit will be transferred to the new date.

    • The remaining 25% will be treated as a rebooking fee.

  3. Change of date request received within 14 days prior to the original Event date:

    • 50% of the original deposit will be transferred to the new date.

    • The remaining 50% will be treated as a rebooking fee.

  4. Change of date request received within 7 days prior to the original Event date:

    • No transfer of deposit will be allowed.

    • The original booking will be treated as a cancellation with no refund, as per the cancellation policy.

    • A new booking at full price will be required for the desired new date, subject to availability.

All change of date requests are subject to availability of the desired new date. If the desired new date is unavailable, the original booking will remain in place unless cancelled as per the cancellation policy.

EXCLUSIVE VENUE HIRE 

By booking a Full Venue Hire, Exclusive Full Session, Meeting or Conference at Serve or CodeBreakers you agree to the following terms and conditions: 

  • Any pricing or proposal quoted for one of the above event booking types is valid for 48 hours only. 

  • To confirm one of the above event booking types a non-refundable and non-transferrable deposit payment based on the total of the event (if booking more than 30 days before the event date) is required within 48 hours to fully secure the event, otherwise the event date may be released by the team.

  • The deposit paid is non-refundable and non-transferrable, even if the event is cancelled. 

  • Cancellations: The venue reserves the right to retain 100% of the fees if notified of a cancellation less than 30 days prior to the event.  

  • The venue, including all spaces, is an over 18 venue and ID will be required for all guests. 

MINIMUM CHARGE

  • Exclusive Venue Hire:
    Any booking of 33 or more guests secures exclusive use of the entire venue. This requires a minimum activities charge of $30 per person for at least 33 guests, totaling $990. If guest numbers drop below 33 after the booking is confirmed, the minimum charge of $990 still applies and will be deducted from the paid deposit. Any additional food and beverage packages must be purchased separately.

  • Group Bookings:
    For bookings of fewer than 33 guests, a minimum activities charge of $30 per person applies based on the number of guests originally booked. If the number of guests attending drops below the booked amount, the charge may still be based on the original number of guests. The minimum charge will be deducted from the paid deposit if applicable. Additional food and beverage packages are available for separate purchase.

SECURITY CAMERAS 

Please note Security Cameras are in operation in our venue for the safety of our staff and guests. 

PHOTO AND VIDEO

Serve Ping Pong Club / CodeBreakers reserves the right to take photos and videos within its venues at all times. These images will be used by CodeBreakers to share positive promotional news about its events and experiences across all digital channels of communication and the occasional internal memorandum. Images may also be used in press releases, printed publicity and published on our websites globally. All Images are stored securely on our server.
